Challenge 
 
One of our major legacy clients hosts a top-level start of year conference for 250+ members of management across their international locations. The event is strictly business, seeing reviews of the year just gone and locking in plans for the year ahead and beyond. As a trusted partner we are asked to look after almost every aspect of this event:

• produce an effective event from initial visuals to full production

• help to engage delegates in what can be an intense programme 
 
With weekly meetings for this specific client, Dancing Squirrel were ready and agile, able to start work immediately. 
 
Solution 
 
Being acutely aware of the specific challenges surrounding this event work begins a year in advance. One of the main obstacles in Rome is finding a venue for a tricky number of people, fortunately we have an excellent relationship with the A.roma who has served us well in the past. With the ideal main space and breakouts this part of the venue is able to be fully privatised making it a perfect fit for the event. 
 
With any information-intense meeting, looking at data for two days straight can be fatiguing. Dancing Squirrel were able to utilise our expert inhouse creative team to help improve existing presentations, completely remake the main keynote presentation and then unify the whole deck, which provided a coherent and engaging delivery of presentations. We also bring this support onsite with us to work alongside the client team on any ongoing changes throughout the event 
 
Leveraging our relationships with European suppliers we were able to put together production at an extremely competitive price, eliminating high transport costs and effectively using any in-house AV already in place. Once installed and ready to go, all non-essential personnel were offsite with the event crewed by our experienced and security cleared senior team. Production included full stage and dressing, a large 12m LED screen, full line array and 12 channels of digitally secured wireless. 
As ESG continues to be driving force across the globe, sustainability remains at the forefront of many decisions. Fortunately, our bespoke paperless conference solution hits these goals while also maintaining delegate engagement. Removing unnecessary waste is a simple and effective way we are able support the change needed on our planet – run off iPads, the custom system allows for note taking, presentation follow along, live Q&A and real-time data gathering. It has proved an invaluable addition of many customers over the last 5 years.
