At Dancing Squirrel, we understand the critical role innovative event design plays in bringing a client's vision to life and re-establishing a leading presence in their industry. This case study showcases how Dancing Squirrel transformed Linnworks' industry event, Linn Academy, into a highly engaging and impactful conference and exhibition combination, exceeding all expectations.
Dancing Squirrel's Solution: An Innovative and Engaging Festival Format

Dancing Squirrel proposed a unique, out-of-the-box solution, moving away from stereotypical London, Birmingham, or Manchester venues to leverage local connections and truly deliver impact. We suggested Arena MK in Milton Keynes as the venue. This strategic choice allowed us to:

• Maximize existing connections and suppliers: Leveraging our network for seamless execution.
• Utilize venue expertise and partners: Ensuring smooth and professional event delivery.
• Shift the scene: Providing a fresh and accessible alternative to traditional London venues.

The event itself was a dynamic conference and exhibition combination, supported by an unforgettable "Partner Party" on the first evening.
Client: Defence Sector
Event: Programme Seminar
Venue: Hilton Hotel, Manchester
Attendees: 110

The Brief

A client within the defence sector approached Dancing Squirrel to support their Programme Seminar held in April at the Hilton Hotel in Manchester. The event, attended by over 100 delegates, required seamless technical delivery and strict attention to detail — particularly around confidentiality and coordination.

Our Role

Our brief included providing full audio-visual support, acting as the main liaison between the client and the venue, and ensuring all personnel on-site were security cleared due to the sensitive nature of the material being presented.
Client:

Airbus is a global leader in aerospace known for its innovation, technical excellence and investment in future talent. Each year, Airbus recruits a new cohort of apprentices across a range of disciplinaries, placing significant importance on early engagement and assessment as part of their onboarding process.
Project Overview:

For the second consecutive year, our team was proud to partner with Airbus to deliver a large-scale multi-day apprentice assessment event. The purpose of the event was to conduct structured interviews, skills tests and icebreaker sessions with incoming apprentices in a professional yet welcoming event.

Held at Chester Racecourse, the event ran over a three-week period and served as a vital step in Airbus’s apprentice onboarding process. With a focus on logistics, flow and attention to detail, our team ensured every element ran seamlessly.

Introduction:

26th – 27th February 2024, Dancing Squirrel took a significant step in expanding our reach by exhibiting for the first time at The PA Show Spring, held at London ExCeL. Historically, our business has grown through long standing legacy clients and word-of-mouth recommendations, but this year, we made a strategic decision to proactively market our services to a wider audience. The event provided an excellent opportunity to connect with PAs, EAs, and VAs from various industries, fostering new relationships and networks.

Concept & Stand Design:

To create an engaging and memorable presence, we developed the concept of a ‘Pick and Mix’ of event services. This showcased our key offerings, including team building, awards, virtual events, conferences, venue finding, and more.

Challenge

One of our major legacy clients hosts a top-level start of year conference for 250+ members of management across their international locations. The event is strictly business, seeing reviews of the year just gone and locking in plans for the year ahead and beyond. As a trusted partner we are asked to look after almost every aspect of this event:

• sourcing a secure and functional venue
• providing world class crew able to work with sensitive information
• produce an effective event from initial visuals to full production
• elevate specific content
• help the business achieve EGS goals
• help to engage delegates in what can be an intense programme

With weekly meetings for this specific client, Dancing Squirrel were ready and agile, able to start work immediately.

Dancing Squirrel Europe recently had the pleasure to support Manhattan Associates with their flagship European conference, Exchange 2024. This event brings together customers & suppliers from across the globe to share the latest information on technology & vision, as well as provide unique networking & social experiences. As Manhattan’s dedicated partner in Europe, we were trusted to work alongside their international team to help coordinate the event, from creative input & event design, exhibition & plenary build to video production & furniture hire – all with the key aim to minimise the events environmental footprint.
Environmental Challenge

Coordinating events internationally is never simple, as long-distance transportation increases budgets and Co2 emissions. With a large exhibition to build and branding to place across a large venue, the print quantity required exceeded a hundred square metres, and if not managed correctly, this risks going into landfill.
Challenge

Our international client came to us to organise an afterparty that would be an immersive experience, and a perfect conclusion to their Innovation Awards. We were tasked with showcasing an innovative use of audio visual technology and sourcing a luxurious venue that would provide an ideal open space.
Dancing Squirrel's Solution

We selected the Hotel La Tour in Milton Keynes. Located on the 14th floor, the restaurant and bar offers guests stunning 360-degree panoramic views over Buckinghamshire and Bedford, providing guests with one of the best views of the blossoming city in one of its most elegant bars.

To transform a restaurant into party area, we had to replace over 100 pieces of furniture, bringing in poseur tables that allowed guests ease of movement around the floor. It was no simple task, but we succeeded seamlessly with a coordinated effort assisted by the hotel staff.

To deliver on the theme of innovation, we transformed the floor with captivating event technology. Guests entered through LED post and rope and immediately faced with an interactive LED wall. Refreshments were served from a cocktail fountain and from edible mist orbs.

Guests were treated to ice cream from a parlour fitted with liquid nitrogen, accompanied by a robot DJ and a selfie robot too. Moving heads lit the ceilings with elegant shapes and uplighters created a vibrant atmosphere.

The Brief

Linnworks, a company committed to sustainable business practices, approached us with a challenge: design and deliver an exhibition stand for the IRX show at NEC Birmingham. Their goal was to create a visually impactful display that was not only eco-friendly but also fit within their budget. Recognizing their dedication to sustainability, we were thrilled to collaborate and translate their vision into reality.

We began by presenting Linnworks with three distinct visual concepts, each incorporating sustainable design principles. We then fostered an open dialogue, incorporating their feedback and ideas into the initial plans. Through this collaborative process, we arrived at a final design that struck the perfect balance between environmental consciousness, eye-catching appeal, and cost-effectiveness. With the plan solidified, we then transitioned seamlessly into the execution phase, transforming the vision into a reality for the IRX show.
At Dancing Squirrel Events, we understand the critical role employees play in building a strong and successful company. Traditional award ceremonies, however, can often fall flat, failing to capture the spirit of a dynamic workforce. This case study showcases how Dancing Squirrel's innovative approach transformed a client's employee recognition program into a highly engaging and impactful festival.
The Brief

In a competitive tender between production companies, Caremark chose Dancing Squirrel because we promised more than production. As a creative agency, we promised to elevate their brand and deliver a conference that left delegates remembering the message the speakers were looking to make.
Caremark provided us with brand guidelines and templates for their presentations, including keywords and points they wanted to highlight. We were told the title of the event ‘Building a Winning Team’ and were tasked with applying our creativity to create engaging content to work alongside our seamless production.
Dancing Squirrel was entrusted with the task of supporting Airbus with their ‘HR Grow Together Event.’ Aimed at bringing the HR team in the UK together to discuss how the year had gone, what inspired them, and how they could develop a deeper understanding of their function, whilst enjoying some entertainment including energisers and gameshow themed quizzes along the way.

The first challenge was to source a venue central for delegates coming from the client’s main sites across the UK. The client also wanted a change from the traditional country house setting of previous years, so the creative direction was to embrace the energy of a city, leading us to Birmingham. After exploring a number of unique venue options, the Park Regis Hotel Birmingham emerged as an ideal fit for this experience.

Two of the main areas the client wanted to focus on while planning this event were growth and sustainability. As the event producer, the vision was key to the impact of the meeting –transforming the stock conference room to embody the theme of ‘growth’.
